All online consultations, medical assessments and patient communications are managed by Hairmedico's authorized team in Istanbul.

Depending on your interaction with Hairmedico, we may collect the following information.

Identity information: first and last name; age or date of birth; gender; country of residence; nationality; identification or passport information where legally required.

Contact information: telephone number; WhatsApp number; email address; postal address; preferred language and communication method.

Medical and health information: hair-loss type and stage; medical history; previous hair or beard transplant procedures; existing medical conditions; medication and allergy information; information relating to treatment suitability; consultation and examination notes; diagnosis, treatment and follow-up information; other information voluntarily submitted for medical evaluation. Health information is classified as sensitive or special-category personal data and is subject to additional safeguards.

Photographs and visual information: we may collect photographs of your hair and scalp; hairline; crown; donor area; face or beard area; treatment progress and results. Photographs submitted through consultation forms, WhatsApp, email or during an in-person examination are treated as confidential medical information.

Communication information: we may retain contact-form submissions; email correspondence; WhatsApp messages; telephone enquiry records; appointment information; additional notes; questions, requests, complaints and feedback; records of consent and communication preferences.

Technical information: when you visit the website, certain technical information may be collected automatically, including IP address; browser type; device and operating-system information; approximate location; referring website; pages viewed; date and duration of visits; cookie identifiers; advertising and analytics identifiers; website-security and access records.

Personal data may be processed on the basis of: your explicit consent; taking steps at your request before establishing a service relationship; performance of a contract; compliance with legal obligations; establishment, exercise or protection of legal rights; Hairmedico's legitimate interests, provided your fundamental rights are not adversely affected; medical diagnosis, treatment, care and management of healthcare services; protection of public health; other grounds permitted under the KVKK and applicable healthcare legislation.

Health information and treatment photographs will be processed in accordance with the rules applicable to sensitive personal data.

Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that lawfully took place before consent was withdrawn.

Photographs submitted for an online or in-person assessment will be used for: evaluating hair loss; reviewing the donor area; treatment planning; medical documentation; monitoring recovery and treatment results; providing follow-up support.

Medical photographs will not be published on Hairmedico's website, social-media accounts, advertisements or before-and-after galleries without the patient's separate and explicit permission.

Consent to the promotional use of photographs is voluntary. Refusing or withdrawing promotional consent will not affect the patient's ability to request or receive healthcare services.

Where promotional permission is withdrawn, Hairmedico will stop future use and take reasonable steps to remove material under its control, subject to applicable legal and technical limitations.

Access to personal data is restricted to authorized individuals within Hairmedico who require the information to perform their duties.

Hairmedico does not sell or rent personal data and does not share patient information with foreign partner clinics for medical evaluation. Patient enquiries and assessments are handled by the authorized Hairmedico team in Istanbul.

Personal data may nevertheless be disclosed: to the Turkish Ministry of Health where required; to courts, prosecutors and legally authorized public authorities; where disclosure is required by applicable legislation; where necessary to establish, exercise or defend a legal claim; to technical service providers strictly to the extent necessary to operate the website and communication systems.

Technical providers may include hosting, email, cloud infrastructure, cybersecurity, analytics and communication platforms. These providers must process information only for the relevant service and under applicable confidentiality and data-protection obligations.

If you choose to communicate with Hairmedico through WhatsApp, your telephone number, profile details, messages, medical information and photographs may also be processed by WhatsApp and its affiliated companies under their own privacy terms.

WhatsApp is an independent communication platform, and Hairmedico does not control its technical infrastructure or independent processing practices.

Hairmedico's patient evaluation and communication operations are conducted by its authorized team in Istanbul.

However, some technical providers — such as WhatsApp, Google, Meta, email, hosting or cloud-service providers — may operate servers outside Türkiye or provide services through international infrastructure.

Any international transfer of personal data will be conducted in accordance with the KVKK and, where applicable, the GDPR, using an applicable legal mechanism such as: explicit consent; an adequacy decision; appropriate contractual safeguards; standard contractual clauses; another transfer mechanism permitted by law.

Hairmedico.com uses cookies and similar technologies to operate the website, remember preferences, measure performance and understand visitor interactions.

Hairmedico retains personal data only for as long as necessary for the purpose for which it was collected and for the periods required by healthcare, tax, commercial, consumer-protection and other applicable legislation.

Retention periods are determined according to: the purpose of processing; the nature and sensitivity of the information; patient-safety and continuity-of-care requirements; medical-record retention obligations; contractual and legal limitation periods; regulatory requirements.

When the applicable retention period ends, personal data will be securely deleted, destroyed or anonymized in accordance with Hairmedico's retention and destruction procedures.

Withdrawal of consent does not require deletion where Hairmedico remains legally required to retain medical or other records.

Hairmedico takes reasonable technical and organizational measures to protect personal data against: unauthorized access; unlawful disclosure; accidental loss; misuse or alteration; destruction; cybersecurity threats.

Measures may include access controls, confidentiality obligations, authentication procedures, secure storage, backups, security monitoring and staff training.

Access to health information and medical photographs is limited to personnel who require it for consultation, treatment, administration or legal compliance.

No electronic transmission or storage method can be guaranteed to be completely secure. Suspected security incidents should be reported promptly to [email protected].

Hairmedico's online consultation and treatment-request services are intended for individuals aged 18 or over.

Hairmedico does not knowingly accept online applications, health information or photographs from persons under 18.

If we become aware that information concerning a person under 18 has been submitted, we will take reasonable steps to delete or restrict that information unless retention is required by law.

Under Article 11 of the KVKK and other applicable data-protection laws, you may have the right to:

Requests should contain sufficient information to verify the applicant's identity and identify the relevant personal data.

Hairmedico may request additional verification to prevent unauthorized disclosure. Requests will be handled within the period prescribed by applicable law.

Applications made under the KVKK will be concluded as soon as possible and no later than thirty days, depending on the nature of the request.
